How to Evaluate Career Readiness Software

Selecting career readiness software goes best when you treat it as a series of specific questions, not a hunt for a perfect vendor. A clear, shared checklist that your committee applies consistently will surface the tradeoffs, make the procurement record defensible, and reduce surprises after implementation.

1. Start with the framework: shared standard or bespoke rubric?

Key question: Does this product align with a shared, externally recognized framework, and can it also support our local outcomes language where needed?

Clarify early whether you want to measure against national standards, institutional outcomes, or both. For most colleges, the National Association of Colleges and Employers (NACE) Career Readiness Competencies are the default, because they map cleanly to cross-institutional benchmarks and accreditation narratives.

Questions to ask vendors:

  • Which career readiness framework(s) do you support out of the box, for example NACE?
  • Can we edit competency names, behavioral indicators, or scales to reflect our institutional language?
  • If we customize, will we lose access to any benchmarking or comparison data?
  • How are rating scales defined, and can we lock definitions so raters see consistent anchors each term?

Tradeoff: a fully bespoke rubric feels tailored, but it is harder to benchmark against peers. A shared framework with light customization usually serves accreditation and internal stakeholders better than a fully custom build.

2. Student population: how do we get our roster in?

Key question: How will we reliably create and update the list of students who should be assessed?

Most projects lose time and credibility on roster management. Your committee should understand exactly how each product gets from “list of intended students” to “live assessment invitations.”

Questions to ask vendors:

  • How do you import rosters: CSV upload, SIS integration, SFTP, APIs, manual entry?
  • Which student identifiers can you store and use (ID, email, program, course, internship site, demographic fields)?
  • What is the minimum data you actually require to run the assessment?
  • How do you handle adds, drops, and late placements during the term?
  • Can non-technical staff perform roster uploads, or does IT need to be involved every term?

Look for a realistic process your team can execute with your current staffing. A sophisticated integration that never gets implemented is worse than a well-documented CSV template that departments can manage themselves.

3. Observer ratings: can we include supervisors outside the institution?

Key question: Can we collect ratings from off-campus supervisors and faculty, and keep their experience simple enough that they will participate?

Career readiness is not just a student self-report. You will want 360-degree input from supervisors at internships, co-ops, on-campus jobs, and clinical placements.

Questions to ask vendors:

  • Can external supervisors complete ratings without needing an institutional login?
  • What is the exact workflow for inviting supervisors: manual entry, bulk upload, link generation by course or site?
  • Can a single supervisor rate multiple students with one account or link?
  • Are faculty or field instructors supported as raters, and can we distinguish their role in the data?
  • How does the system help prevent duplicate or missing supervisor records?

If off-campus raters have to fight through your SSO or create a complex account, your response rates will suffer. Ask vendors to walk you through the supervisor experience screen by screen.

4. Response rates and participation: what will we actually be able to see?

Key question: Can we monitor who has responded, by role and by group, early enough to intervene?

You will be asked “Who completed this?” and “Which programs are lagging?” before any results discussion. The software should make those questions easy to answer.

Questions to ask vendors:

  • Can we see real-time response rates by student, supervisor, course, department, and site?
  • Can we filter completion by student vs supervisor vs faculty ratings?
  • What reminders can the system send automatically, and can we customize timing and content?
  • Can program directors or faculty see completion status for only their students, without seeing other programs?
  • Can we export a list of non-respondents for targeted outreach?

High-quality data is partly a participation problem, not just a survey design problem. Response-rate reporting is the main control you have once the term is underway.

5. Reporting and exports: how do we get data into our existing systems?

Key question: In what formats can we export data, and are those formats compatible with the tools we already use?

Your analysts and accreditation leads will want raw data for further analysis. Your institution likely already uses tools such as Excel, SPSS, Power BI, Tableau, or internal data warehouses.

Questions to ask vendors:

  • Which export formats are supported (CSV, XLSX, PDF, JSON)?
  • Can we export both individual-level data and aggregated reports by program, major, class year, site, and term?
  • Are variable names and codebooks documented, so analysts do not have to reverse engineer field meanings?
  • Is there an API for automated data pulls, and what authentication method does it use?
  • Are summary reports suitable to include directly in accreditation documents, or will we have to rebuild visuals ourselves?

6. Procurement transparency: what will be on the public record?

Key question: Does this purchase stand up to public and internal scrutiny, including open-records requests?

Public institutions in particular should assume that RFPs, scoring sheets, and contracts may be requested and read outside the selection committee. A clear, criteria-based process protects both the institution and the staff involved.

Questions to ask vendors and internally:

  • Which documents will be a matter of public record under state law or institutional policy?
  • How will we document our criteria and scoring in a way that is consistent and defensible?
  • Are there any non-standard terms in the vendor’s contract, especially related to data ownership and pricing, that we would not be comfortable explaining in public?
  • Does the vendor have prior experience with higher education procurement and open-records environments?

This is also where you should check whether marketing claims match the contract language, especially around data ownership and the ability to exit the relationship.

7. Data ownership, privacy, and student control

Key question: Who owns the data, how is it protected, and how can we explain this clearly to students and supervisors?

Questions to ask vendors:

  • Who legally owns the assessment data: the institution, the vendor, or both under specific terms?
  • Can the vendor use our data in aggregate for research or marketing, and can we opt out?
  • How long is data retained, and what is the process for secure deletion if we request it?
  • Where is the data hosted, and what compliance standards apply (FERPA, SOC 2, state privacy laws)?
  • How can students access their own results, and can they control whether external parties see them?

Students and supervisors increasingly ask detailed privacy questions. You need responses that your office can state plainly and consistently.

8. Features you may not need (and which we do not provide)

Key question: Do we want a focused assessment tool or a broad platform with many adjacent features?

Career readiness tools often bundle multiple capabilities: job boards, employer relationship management, event management, and assessment. There is no single right answer, but your committee should be intentional rather than defaulting to “all in one.”

Questions to ask vendors:

  • Which functions are core to your product, and which are add-ons?
  • If you offer a job board, how does it compare to what we already use, and what migration would be required?
  • If you have an employer CRM, can it meaningfully integrate with our advancement or corporate relations systems?
  • If we use only the assessment component, are we paying for other modules we will not adopt?

9. Implementation workload and ongoing support

Key question: With our actual staffing, can we implement and sustain this for at least three cycles?

Questions to ask vendors:

  • What does a standard implementation timeline look like from contract to first live term?
  • What specific tasks fall on campus staff versus the vendor, and how many hours should we realistically budget?
  • What training is offered for faculty and staff, and in what formats (live sessions, recordings, written guides)?
  • How is support provided during peak periods, such as the end of term when reminders and reports are time-sensitive?
  • Can we run a pilot with a subset of programs before full rollout, and what support is provided during that pilot?

A feature-rich system that requires constant vendor intervention or heavy IT support may not be sustainable. Favor a platform that fits your capacity as it actually exists today.

Using this checklist with your committee

Convert these question sets into a shared rubric for demos and reference calls. Ask each committee member to record answers and concerns in writing. When procurement or leadership asks why a particular product was selected, you will have a clear record of how each option performed against the criteria that matter for your campus.
